Moving Procedures

These procedures are in place to facilitate the movement of items into and out of the buildings at Colecroft Station Condominium.  Each owner should familiarize him/herself with these procedures and address any questions to the Association office at (703) 684-9064.  Owners who lease their units are responsible for distributing these procedures to their respective tenants.  We welcome you to Colecroft Station Condominium and hope that you have a pleasant move.

All investor owners are responsible for distributing these moving procedures to their respective tenants.  Only moves that are performed in accordance with these moving procedures will be allowed to take place.  Any person found to be in violation of the moving procedures will be subject to an assessment; the Association will assess the Owner of the involved unit as per Policy Resolution No. 14.

After much discussion among Board Members and a thorough open discussion with unit owners attending the June 19, 1997 homeowners' meeting, the Board adopted Policy Resolution No. 14, which institutes a $100 non-refundable move-in fee (one time) and a $200 refundable move-in and move-out moving deposit (each move).  When researching this issue, we contacted many condominium communities throughout Northern Virginia that charge moving fees ranging from $150 to $250 per move.  We believe that a $100 move-in fee is most appropriate and fair to all Colecroft Station Condominium Owners.  This money will cover a host of administrative costs involved with and resulting from moves in and out of your community.  In addition, the $200 Moving Deposit will facilitate in recovering money to repair damage caused during moves.

Pre-Move Instructions

Scheduling - You must schedule your move with the Association office [(703) 684-9064] no less than two days (48 hours) prior to your desired move day.  If more than one individual is moving on the same day, you will be assigned specific times during which you can move, so that two moves are not conducted at the same time.  Upon scheduling a move in, you will receive a Colecroft Station Condominium Welcoming Packet that will contain all the necessary paperwork and instructions for a successful move.  You will be asked to sign for receipt of this package and must complete and submit the enclosed documents as directed by the individual documents.

Moving Hours - Moves into and out of the complex may be conducted between the hours of 9:00 a.m. and 5:00 p.m. Monday through Friday, excluding legal holidays.

Moving Fees/Moving Deposit - No less than two days (48 hours) prior to your move the Association must receive your moving fee and moving deposit.  The non-refundable moving fee is $100 (move-in only) and the refundable moving deposit of $200.  Checks should be made payable to Colecroft Station Condominium Association.  Please refer to Policy Resolution No. 14 for further details or contact the Association office.

Elevator - No less than two days (48 hours) prior to your anticipated movement of items into or out of the buildings, you must notify the Association office at (703) 684-9064 of your intended move.  This affords time for the Association to "lock down" and place protective mats in an elevator for your use.  NOTE:  On the day of your move, chances are that someone has used the locked-down elevator, and it is now sitting open on their floor.  To find the locked-down elevator, go to the lobby level and look at the floor indicator boxes at the top of the elevators.  Go to the floor that is indicated and you should see the open, locked-down elevator.  Upon entering the elevator you will fond that the door does not automatically close.  When in lock-down, you will need to hold the "door close" button until the door closes completely.  This notification is also needed for the delivery and removal of furniture or remodeling supplies.

Moving Van - Specific areas at Colecroft Station are designated for parking moving vans/trucks.  Please see the Site Plan While other areas may appear to be more convenient for your move, understand that specific areas must be open at all times to allow access to the fire Department and other emergency services.  The safety of every resident must be considered.

Doors - The entry doors to the building are equipped with clamps so that they can be placed in an open position during your move.  Please be aware, however, that clamping open these doors increases the possibility of theft and unauthorized entry into to the building.  with security in mind, please close and lock the front doors if you are leaving the lobby area, i.e., taking an elevator load of items to your unit.  And please be sure to lock the doors once you have completed your move.  This is the responsibility of the owner or resident, not the moving company or their employees.

Moving Day Instructions

Moving Procedure - We ask that you move your items into or out of the building in the following manner in an effort to reduce wear-and-tear on the lobby furnishings and structures, maintain the building esthetics, protect your property from theft, and reduce the chances of damage to the lobby or other common areas.

When moving in, items must be moved from the vehicle directly to the locked-down elevator.  Once the elevator is full, please lock the front doors and proceed to your floor.  The items should then be moved from the elevator to your unit.  We ask that you do not lean your belongings against the building walls, doors, or furniture or leave your personal items either in the lobby, hallway of your floor, or any other common area.  When moving items out of the building, this sequence is simply reversed.  Assessments shall be made for any violation of this procedure and for any damage to the common areas.

Trash - The trash chute is only for small items of regular household trash that must fit into and be placed in plastic trash bag, no larger than 13 gallon or tall kitchen bag size.  Neither the trash chute nor the trash compactor at the bottom of the trash chute is designed for, or capable of, handling any other type of materials.

Materials that should NOT be put in the trash chute include:

Cardboard boxes or containers of any size.

Long objects such as tennis rackets, skis, curtain rods, bed rails or parts of furniture.

Heavy or firm items such as bowling balls, small broken appliances, book ends, tools or metal objects.

Liquids of any kind, especially those that are toxic or flammable.

Placing inappropriate items in the trash chute can result in serious injuries to the janitorial staff or others, damage to the trash compactors, possible fire in the trash chute or the the garage, and infestation of insects and rodents.

Cardboard boxes or containers should be flattened and placed inside one of the large blue trash dumpsters by the tall garage door between the 545 building and the commercial building.  Long objects, heavy and/or firm items and liquids (except toxic or flammable liquids) are to be placed in the large blue trash dumpsters.  Nothing is to be left anywhere on the garage floor even if it is near those dumpsters.  Toxic or flammable liquids are to be disposed of off the property.

Recycling bins are located by the large blue dumpsters.  The items that can be recycled in these bins are plastic, glass and aluminum only.  To facilitate the separation process, please do not bag items.  Recyclables should be loosely laid in the bins.  You may toss your plastic bags in the bin, just as long as nothing is inside of the bags.  Do not place paper bags in the recycle bins.

Moving Van Permit - Please see the Site Plan for designated parking areas.  If you will be parking your vehicle on West Street, you must obtain a parking permit from the City of Alexandria, Transportation Department at (703) 838-4324.  You must request a parking permit no less than 72 business hours before your anticipated move.  The city will post notices on West Street, stating the date and times during which you have permission to park your moving van/truck; this reserves the space for your exclusive use.  There is a minimal charge which usually does not exceed $10 ($3 per twenty foot space reserved).

Keys - You will need four separate keys.  One to the building, one to your unit, one to the mail box and one to the exercise room.  These keys should be supplied to you by either the previous owner if you purchased your unit, or by the current owner if you are renting your unit.  If you are unable to obtain keys from the appropriate source, the Association office can assist you with keys.  You must obtain your unit key and mail box key from the previous or current owner.  Please note that Colecroft Station Condominium does not provide lock-out service.  In the case that you become locked out of your unit, you must contact a locksmith.

Parking -

Garage - Prior to parking your vehicle in the garage, you must register with the Association office and obtain a parking decal.  Access to the perking garage requires a garage door opener.  If you have purchased your unit, the previous owner should provide this opener to you.  If you are renting your unit, the current owner should provide this opener to you.  If you are unable to obtain a garage door opener from the appropriate source, you may purchase one from the Association for $55.

Street - You must register your vehicle with the City of Alexandria if you intend to park on the street.  Please note that from 8:00 a.m. to 5:00 p.m. Monday through Friday you can park on the street for a maximum of three hours without a city parking permit.  Know that the city will ticket you if you violate the parking limits.  You can obtain a city parking sticker at Alexandria City Hall, Treasury Department, 301 King Street.  The telephone number is (703) 838-4777.

Lease - In accordance with Policy Resolution No. 9, owners who lease their units must submit the Association office a copy of the lease for each tenant no less than 10 days prior to occupancy.

Insurance - Whether you own or rent your unit, you should obtain insurance prior to moving into your unit.  To insure against all possible events consider the following coverage:

Property at full replacement value (if you own this will cover both your personal belongings and your unit (usually from the paint inward and the carpet upward).

Liability (to cover damage to property other than your own).

Building items (to cover damage to common areas).

If you are an owner, you may want to consider assessment coverage.

It is best to consult with an insurance agent to understand what coverage is appropriate for you.

Electricity - You must have the electricity turned on under your name prior to moving into the unit.  Any resident pirating electricity from common areas will be assessed for the estimated cost.  Contact Virginia Power at (703) 934-9670.

Pets - Colecroft Station welcomes you and your pet as outlined in Policy Resolution No. 8.  Please  refer to this Resolution or consult with your landlord to ensure compliance.  If you have more than one pet, you will need to obtain the approval of the Board of Directors prior to moving into your unit.

Please keep in mind that as a responsible pet owner the city law requires that you clean up after your pet.  Fecal material left on the grounds has the potential for spreading diseases and illnesses.  You must keep your pet out of designated areas.

Policy Resolution No. 14

Relating to permitted and prohibited uses of unit and common elements

GIVEN THAT our Bylaws provides in applicable part that, "The Board of Directors shall have all of the powers and duties necessary for the administration of the affairs of the Association and may do all such acts and things as are by the Condominium Act, or the condominium instruments required to be exercised and done by the Association." And

GIVEN THAT the Board of Directors shall have the power from time to time to adopt any "Rules and Regulations", provided that such rules and regulations are not in conflict with the Condominium Act or the Condominium instruments: and

GIVEN THAT the Unit Owners Association shall be responsible for the maintenance, repair and replacement of all the common elements (including the limited common elements) as defined in the condominium instruments whether located inside or outside of the units.  And

GIVEN THAT the Board deems it necessary and in the interests of the membership to establish an initial Move-In/Move-Out Vacating Policy.

NOW, THEREFORE, "The Board resolves that this Policy be formally passed concerning moving procedures."

  1. Moving Deposit / Refundable - There shall be $200 Refundable Moving Deposit, payable by check to the Colecroft Station Association, delivered to the Building Manager no later than two (2) days prior to scheduled move-in or move-out.  Said deposit shall be refunded in full provided no damages to common elements associated with the move are discovered after inspection by the Building Manager.  In the event of damages to the common elements the Moving Deposit shall be retained and applied to repair said damages resulting from the move.  Any damages in excess of the $200 Moving Deposit will be collected in the manner established by Administrative Resolution # pertaining to collection of assessments.
  2. Move-In Fee / Non-Refundable - In addition to the refundable Moving Deposit, a $100 Non-Refundable fee will be assessed for your initial move into the community.  The $100 Moving Fee will be collected up front in the form of a check only made payable to Colecroft Station Condominium Association, delivered to the Community Coordinator no later than two (2) days (48 hours) prior to a scheduled move-in.  The hours of Move-In / Move-Out shall be Monday-Friday, 9:00 a.m. to 5:00 p.m.  No move may be performed on any legal holiday.
  3. Penalties - Any moves not conducted in accordance with this policy and other regulations shall result in penalties to the unit owner.

You must schedule all repairs (appointments) during normal business hours.  Contact the Association Office for access to all utility rooms.  Access will not be available after normal hours.
